BPO services are a critical factor for the smooth running of operations for one of Sri Lanka’s leading Manufacturing Companies. To support the Company’s backend process efficiency, a BPO Service Provider with an established global presence, delivered accounting outsourcing, payroll, and data digitization services to the 20 + sub-companies operating under the corporate brand of the Manufacturing Group.

However, the BPO Service was faced with a problem in its handling of payroll services for the Manufacturing Group, where an urgent need of streamlining the process flow was necessary, due to multiple inefficiencies that were arising as a result of interfacing disconnections between the sub-companies within the Manufacturing Group. Each payroll stream has over 20 process executions that are handled by bots. But, because of the inconsistencies between UI elements of different sub-companies, the bots; working on a generalized pattern, were not able to identify them effectively, resulting in a need for manual intervention.

The RPA implementation developed by John Keells IT (JKIT) introduced bots to carry out all the interventions previously handled manually. Using the UiPath technology, a bridge was created between the two systems of the BPO Service and the Manufacturing Group. This initiative enabled the capture of comprehensive data related to the monthly payroll records as mapped out through the processes; new recruitments, incentive / bonus payments, increments and promotions, resignations, intercompany transfers, earnings, no pay, overtime pay, change of crediting bank, departmental changes / cost centre changes, name corrections, designation changes, location changes, arrears, loan deductions / loan settlements / stop-loan instalments, deductions, and salary advance. The processes thus mapped out for every payroll stream, now provided a clear framework implemented across the 20 + sub-companies of the Manufacturing Group for the RPA to function on.

As immediate benefits of the RPA solution, the BPO Service’s payroll distribution was optimized through the reduction of errors made on record entry, with increased accuracy & speed realized in processing transactions and audit records. By eliminating manual intervention, labour costs were saved on, making payroll an area of the business that was tactically viable. The accuracy, timeliness, and well-planned coordination across multiple business entities enabled by RPA, also contributed to improved employee satisfaction within the Manufacturing Group; positively impacting operational productivity and overall profitability.
